Unified inbox

All your client emails in a single inbox, tied to projects.

Unified messaging prevents ping-pong between Gmail/Outlook and Nexte: you read, reply, and link emails to projects without ever leaving the app. Respects your native mailbox (send and receive go through Gmail/Outlook, not a third-party server).

Connect your email

Settings → Apps → Gmail or Outlook → Activate. OAuth 2.0 with minimal scope (`gmail.send` + `gmail.modify`). Nexte only imports conversations with your CRM contacts' addresses — not your entire inbox.

Understand the sync scope

  • Synced emails: only those from senders/recipients in your CRM.
  • History: 90-day backfill, then continuous.
  • Storage: emails stay on Gmail/Outlook, Nexte only reads a snapshot.
  • Deletion: deleting an email in Nexte does NOT delete it in Gmail (and vice versa).
  • Labels/folders: your Gmail labels and Outlook folders are imported and visible in Nexte.

Reply from Nexte

Every message can be replied to directly in the interface. Your reply goes out through the Gmail/Outlook API, lands in your native Sent folder, and stays in Nexte's inbox for traceability. The editor supports attachments, automatic signature, quick templates.

Quick templates

Settings → Messaging → Templates. Create pre-written replies for recurring emails: brief acknowledgment, quote sending, friendly payment request, post-delivery follow-up. Dynamic variables (`{firstname}`, `{project}`, `{amount}`) auto-replaced.

Link a message to a project

A message from a contact can be attached to a project in one click. It shows up in the project timeline, visible to the client if the project has an open portal. You can `Detach` if the conversation was linked by mistake.

Aliases and multiple addresses

On the Agency plan, connect multiple addresses (e.g. hello@your-agency.com + your-firstname@your-agency.com). Nexte merges conversations and lets you pick which address to use for each reply.

Search and filters

  • Full-text search on subject, body, PDF attachments.
  • Filters: unread, with attachment, linked to a project, from a specific client, within a date range.
  • Operators: `from:john@example.com`, `has:attachment`, `project:alpha`, `after:2024-01-01`.
  • Save: save a search as a quick filter in the sidebar.
If you disconnect Gmail/Outlook, already-synced emails remain viewable in Nexte (read-only). Reconnect to resume sending and real-time sync.
